  • Higher education // Brisbane // Initial 12-month contract
  • Program Planner and Progression Validator project
  • Strong focus on business processes, SaaS requirements and gap analysis

About the role

The Program Planner and Progression Validator project will introduce a SaaS product to replace existing manual processes. The solution will help students plan their studies, track progression against program requirements and support checks to confirm eligibility for graduation.

The project is currently in the planning and procurement phase, with preparations underway to approach the market. Working closely with business stakeholders, architects, technology teams and vendors, you will analyse current processes and business rules, define future processes and translate requirements into clear specifications.

As the project progresses, you will assess how the proposed solution meets business needs, identify gaps and help determine the process changes, configuration and integrations required for implementation.

This role requires strong critical thinking, attention to detail and sound judgement. You’ll need to investigate complex requirements, challenge assumptions constructively and build agreement across a university environment.

Key responsibilities

  • Analyse current manual processes for program planning, progression validation and graduation checks, identifying business rules, exceptions and opportunities for improvement.
  • Map as-is and to-be processes using BPMN and work with stakeholders to agree future ways of working.
  • Elicit, validate and document functional, non-functional, technical and integration requirements.
  • Translate business requirements into specifications that support SaaS solution evaluation, configuration and implementation.
  • Conduct gap analysis between business requirements, existing processes and product capabilities.
  • Work with stakeholders, architects and vendors to assess gaps and determine appropriate process, configuration or integration responses.
  • Facilitate workshops to clarify complex requirements, resolve competing stakeholder needs and prioritise outcomes.
  • Maintain requirements traceability and develop acceptance criteria to support testing and validation.
  • Support solution design, UAT, implementation and business readiness as the project progresses.

Skills and experience

  • Demonstrated senior business analysis experience within higher education.
  • Recognised business analysis accreditation or certification.
  • Strong business process analysis, improvement and modelling skills, including BPMN.
  • Strong analytical skills and attention to detail, with the ability to interpret complex business rules and work independently through ambiguity.
  • Experience translating business needs into clear functional, non-functional, technical and integration requirements.
  • Experience conducting gap analysis and assessing how packaged or SaaS solutions meet business requirements.
  • Confident stakeholder engagement, workshop facilitation and negotiation skills, including working through competing priorities.
  • Excellent written communication and the ability to communicate clearly with business and technical audiences.

Experience in the early planning and discovery phases of a project will be highly regarded, particularly where this has involved SaaS procurement or replacing manual processes. Experience with student management systems, program planning, academic progression or graduation processes would be particularly valuable.

Selection process

The process includes an interview, followed by a practical assessment for successful candidates. The assessment focuses on how you approach a realistic, ambiguous business problem, with an emphasis on reasoning and judgement. It does not require knowledge of a specific university system.
