We are currently partnering with an ASX500 organisation within heavy industry to recruit a Project Systems Administrator.

This is a part-time opportunity (3 days per week) designed to align with the current workload and provide critical backup support to the incumbent. The role sits within a stable, collaborative team and reports directly to the Capital Governance Manager.

The Opportunity:

This role provides essential administrative, systems and financial support across a portfolio of capital projects. You’ll work closely with finance, procurement, engineering and project teams to ensure projects are correctly set up, approved and managed through internal systems.

This position also provides contingency coverage and additional capacity within the team, ensuring governance processes are maintained efficiently.

Key Responsibilities:

  • Set up capital projects and structures in SAP
  • Create projects in internal systems (including eATO and DocuSign)
  • Support governance and approval workflows across projects
  • Process goods receipts and assist with invoice management
  • Provide forecasting and reporting support
  • Prepare and maintain monthly capital reporting
  • Liaise across finance, procurement and engineering teams to resolve project-related queries
  • Ensure compliance with governance and statutory reporting requirements

About You:

We’re seeking someone with:

  • Around 5+ years’ experience in an administrative, project controls or finance support role
  • Experience working in project controls, PMO or finance environments (preferred)
  • SAP experience (highly regarded)
  • Strong Excel capability and attention to detail
  • Confidence managing data entry, reporting and financial processing
  • Excellent stakeholder engagement skills

Heavy industry experience is not required – what’s most important is strong systems capability and the ability to support governance and financial processes.

  • Support change management activities including training, communications, and stakeholder engagement.
  • Troubleshoot procurement system issues and provide ongoing operational support.

Skills & Experience

  • Proven experience as a Business Analyst working with SAP Procurement modules (SAP MM essential; Ariba highly desirable).
  • Strong understanding of procurement processes including sourcing, purchasing, contracts, vendor management, and invoicing.
  • Experience in requirements gathering, process mapping, and functional documentation.
  • Hands?on experience with SAP configuration or the ability to work closely with functional consultants.
  • Strong analytical and problem?solving skills with the ability to translate business needs into system solutions.
  • Experience supporting testing cycles (SIT, UAT) and managing defects.
  • Excellent communication and stakeholder engagement skills.
  • Must be Australian citizen to apply
