Project Administration Officer

An exciting opportunity exists for an experienced Project Administration Officer to support strategic naval shipbuilding programs. This role plays a critical part in maintaining the integrity of contractual documentation, correspondence and project workflows while ensuring compliance and effective coordination across multiple stakeholders.

Key Responsibilities:

  • Manage and maintain Contract Data Requirements Lists (CDRLs)
  • Administer and track CDRL and correspondence registers
  • Coordinate technical queries and monitor resolution activities
  • Oversee high-volume correspondence and shared inbox workflows
  • Facilitate stakeholder engagement across Defence, OEMs, contractors and vendors
  • Manage document control processes within Objective or similar EDRMS platforms
  • Distribute executed documents through approved systems and secure links
  • Provide administrative and program support to project teams
  • Monitor deliverables against contractual timelines and project schedules

Requirements:

  • Proven experience in project administration, contract support, or program coordination. Preferably within Defence or similar complex environments.
  • Expertise in managing Contract Data Requirements Lists (CDRLs), registers, and structured documentation systems
  • Strong correspondence management skills, including handling high-volume inboxes and communication workflows
  • Proficiency with Objective or comparable electronic document and records management systems (EDRMS) and workflow management
  • Exceptional attention to detail and accuracy when handling large volumes of data and documentation
  • Excellent organisational and time management abilities to prioritise tasks in a high-tempo setting
  • Demonstrated experience coordinating technical queries and tracking resolutions
  • Effective stakeholder engagement and communication skills across Defence, OEMs, and vendors
  • NV1 Security Clearance or higher
