Legal Secretary
- Permanent full-time opportunity based in Canberra
- Salary package of approximately $80,000 + superannuation
- Legal or medical administration experience highly regarded
About the Client
Our client is an established law firm with a Canberra office and a collaborative, team-based working environment.
The Canberra team includes Partners, lawyers, paralegals and administrative support staff who work closely together to deliver high-quality legal services.
About the Role
The firm is seeking an organised, reliable and proactive Legal Secretary to join its Canberra office on a permanent basis.
You will provide day-to-day administrative support to a Partner and several senior lawyers, helping manage diaries, court dates, schedules, documents and general office requirements.
This position is more administration-focused than a traditional Legal Secretary role. Legal experience will be helpful, but the firm is also open to candidates from medical administration, executive support or other professional services environments who have the right attitude and are willing to learn.
The successful candidate will be comfortable contributing across the office and assisting with general administrative and reception duties when required.
Key Responsibilities
- Manage diaries, appointments, court dates and lawyer schedules.
- Complete data entry and maintain accurate matter and file information.
- Prepare correspondence and routine administrative documentation.
- Monitor deadlines and support the progression of legal matters.
- Coordinate internal and external meetings.
- Assist with telephone and reception coverage when required.
- Liaise with courts, clients, service providers and other stakeholders as appropriate.
- Maintain electronic and physical files and office records.
- Provide general administrative support across the Canberra office.
- Assist with other reasonable office duties to support the wider team.
Skills and Experience
We are looking for someone who brings:
- Previous experience as a Legal Secretary, Medical Secretary, Executive Assistant, Personal Assistant or Office Administrator.
- Strong diary management and administrative coordination skills.
- Excellent organisation and the ability to manage competing priorities.
- Clear written and verbal communication skills.
- Strong attention to detail and accuracy.
- Confidence using Microsoft Office and learning new systems.
- A practical, positive and genuinely helpful approach.
- The willingness to assist with both complex and routine office tasks.
- A team-focused mindset and strong work ethic.
Extensive legal experience is not essential. Training will be provided on legal processes and systems for the right person.
What the Firm Values
Attitude and team fit are central to this appointment.
The successful candidate will be someone who:
- Is willing to help wherever needed.
- Treats all tasks as important to the effective operation of the office.
- Is comfortable answering phones and assisting with reception.
- Takes ownership of their work and follows through on commitments.
- Builds trust through reliability, good judgement and consistency.
- Contributes positively to a small, close-working team.
Working Arrangements
- Permanent full-time position.
- Canberra office-based role.
- Standard hours are 8:30am to 5:00pm.
- This role does not offer work-from-home arrangements.
- Some flexibility around working hours may be considered over time once trust and consistency have been established.
- A three-month probation period will apply.
Salary Package
The target salary is approximately $80,000 + superannuation.
Some flexibility may be available for a particularly strong candidate with directly relevant experience.
Why Consider This Role?
This is a good opportunity for an experienced administrator who wants to build a long-term career in a professional legal environment.
You will work closely with experienced legal professionals, receive support to develop your legal administration knowledge and become an important part of the Canberra office.
The role may also suit someone earlier in their administration career who has already gained solid workplace experience and is ready to take the next step.
