Our client, a leading Australian university, is seeking an organised and proactive Executive Assistant to provide high-level executive support within a busy People & Culture division.

This is a varied and fast-paced role supporting a senior executive, where you’ll be responsible for managing day-to-day administrative operations, coordinating meetings and events, managing diaries and travel, and providing confidential executive support. This is an excellent opportunity for an experienced Executive Assistant or Personal Assistant looking to join a collaborative and purpose-driven organisation, with the potential to secure a permanent position.

Key Responsibilities

  • Provide proactive executive and administrative support to a senior executive.
  • Manage a complex diary, coordinate meetings, and prepare agendas, presentations, and briefing materials.
  • Coordinate leadership meetings, workshops, Town Halls, and other events.
  • Prepare reports, correspondence, and governance documentation.
  • Arrange domestic and international travel, including itineraries and expense reconciliations.
  • Process purchase orders, invoices, and other financial administration activities.
  • Maintain records, documentation, and information repositories.
  • Act as a key point of contact for internal and external stakeholders, providing a professional and responsive service.
  • Support business projects and continuous improvement initiatives across the People & Culture function.

Key Requirements

  • Previous experience providing executive, personal, or senior administrative support.
  • Strong organisational skills with the ability to manage multiple priorities and competing deadlines.
  • Excellent written and verbal communication skills.
  • High level of professionalism and discretion when handling confidential information.
  • Experience coordinating meetings, events, travel, and executive administration.
  • Experience with financial administration, including purchase orders, invoices, and expense management.
  • Advanced Microsoft Office skills and confidence using a range of administrative systems.
  • Strong attention to detail and a proactive, customer-focused approach
