The Client & Role:

We’re seeking an EA with an extensive background in the financial services industry to deliver specialised expertise in strategy and business management. The role is initally offered as a 12-month contract and has a strong likelihood of continuous extensions.

Responsibilities:

  • Create and maintain records (eg, calendars) of upcoming and recurrent team activities, including cyclical programs, projects, initiatives, compliance obligations, and periodic reporting, and maintaining currency of these records.
  • Document production including preparing and maintaining relevant team templates, typing and formatting, and using technological solutions for recurrent document production (eg, smart documents), ensuring consistency with formatting requirements.
  • Management of team costs including arranging for approval, payment and tracking/reporting of relevant invoices and team credit cards expenses.
  • Ensuring appropriate documentation is organised for travellers, such as itineraries, e-tickets, maps, currency, contact information, meeting agendas and visas.
  • Instigate, arrange and coordinate team meetings and activities as required.
  • Provide follow through on team projects and issues to ensure outcomes and deadlines are achieved.
  • Contribute to the broader Operations Strategy projects, initiatives and other activities as required, including through support to members of the wider team to supplement other team roles and resources from time to time.
  • Document filing, records and knowledge management, in alignment with internal policies on behalf of the team.
  • Confirm team members have completed compliance training obligations and other mandatory activities as required.

Required Skills & Specialisms:

  • Bachelor’s degree would be highly desirable but not mandatory
  • Extensive experience at an appropriately senior level in an executive or team assistant role, preferably in a commercial field such as the investments or financial services industry.
  • Demonstrated ability to collaborate and work in partnerships with others in a busy office environment, while effectively completing tasks within set timeframes.
  • Advanced knowledge of, and skill in using, Microsoft platform applications such as Outlook, Word, Excel, Teams and PowerPoint. Positive
  • Pro-active approach to learning new applications and updating skills to integrate application enhancements.
  • Demonstrated ability to proactively identify opportunities for process or team improvement and to implement them.
  • Proven capability in managing team initiatives along with identifying and driving successful process improvements.
  • Formal project management or project involvement at a participant level would be well-regarded.
