The Opportunity:

Our client is a large, purpose-driven Federal Government Agency seeking an APS4 Executive Assistant to support a senior advisory function operating at a national level.

This role provides executive and secretariat support to the Independent Advisory Council, helping ensure strong governance, smooth operations, and accessible engagement with a wide range of stakeholders. This is a meaningful opportunity to support nationally significant work and amplify the voices of people with lived experience.

This position is ideal for an experienced administrator or Executive Assistant who enjoys supporting senior leaders, managing competing priorities, and working in a collaborative, purpose-led environment.

  • Australian Citizenship required (MANDATORY – Federal Government).
  • Initial contract until June 30th with potential extension.
  • APS4 hourly rate: $43.82 + Super.
  • Location: Richmond or Geelong (VIC).
  • Flexible hybrid working arrangements – full-time preferred, .8 FTE (4 days per week) considered.

About the role:

The APS4 Executive Assistant provides executive and secretariat support to the Principal Member of the Independent Advisory Council and works closely with the broader Secretariat team.

You’ll be responsible for diary and email management, coordinating meetings and travel, preparing documentation, handling confidential information, and supporting governance processes. The role requires a strong focus on accessibility, inclusive communication, and culturally safe approaches.

This is a varied and rewarding role that suits someone who is organised, relationship-focused, and comfortable working in a fast-moving environment with changing priorities.

Responsibilities may include but are not limited to:

  • Managing complex diaries and inboxes, responding to changing priorities.
  • Preparing correspondence, briefing materials, and handling confidential documents.
  • Coordinating meetings, including accessible venues, papers, and logistics.
  • Drafting and formatting documents in line with style, security, and accessibility standards.
  • Supporting governance and secretariat processes.
  • Coordinating travel, accommodation, catering, and official functions.
  • Processing invoices and actioning service requests (ICT, HR, finance).
  • Maintaining shared records and document management systems.
  • Liaising with internal and external stakeholders to support Council operations.
  • Undertaking research and administrative tasks as required.

Essential criteria:

  • Identify as a person living with disability.
  • Demonstrated experience in administrative or office support roles.
  • Strong organisational skills with the ability to manage competing priorities.
  • Clear written and verbal communication skills, including plain-English writing.
  • High attention to detail and ability to handle confidential information.
  • Confidence working with senior stakeholders and diverse groups.
  • Proficiency with Microsoft Office and business systems.

Desirable skills and experience:

  • Previous experience as an Executive Assistant.
  • Secretariat, governance, or committee support experience.
  • Experience working in government or large organisations.
  • Qualifications related to administration, governance, communications, or accessibility.
  • Understanding of disability, inclusion, or lived-experience-led environments.
