About the role
APS5 Administration Officer
The Administration Officer will need to establish record keeping and tracking data of Requests For Information to ensure all responses are timely. They will need to coordinate data requests, resolve issues and assess priority issues and realign tasking often at short notice to meet the needs of the TF and the RC. The applicant will be expected to promptly establish relationships within Navy and DPG and the TF to ensure open and clear communication lines on timelines and RFI requirements.
- The APS5 Administration Officer is accountable under supervised direction to perform and achieve administration and information processing work within an integrated workforce.
- They are accountable to have and maintain an understanding of and compliance to relevant policy guidance, privacy principals and associated frameworks influencing their output.
- An APS5 Administration Officer will be accountable for organising their workflow and making guided decisions relating to their area of responsibility.
- They will provide advice within the Admin Officer function based on legislation, policy and procedures. They will undertake various research tasking and perform procedural or clerical support work to achieve results.
- The APS5 Administration Officer will contribute to the work of a team consistent to a work plan and provide advice and assistance on methods of task completion to team members.
- The APS5 Administration Officer will be required to engage and communicate with stakeholders to identify, respond and provide advice on issues to achieve work unit and Defence outcomes. They will be accountable to contribute towards ongoing self-improvement and professional development.
APS6 Admin Support/Coordination Officer
As the objective workgroup coordinator, provide advice and support to PM and General Counsel Team (GC).
- Manage information and records management activities in accordance with the Archives Act 1983, relevant legislation and Defence policies and procedures.
- Provide continuous improvement strategies to assist GC in their workload
- To assist if required, with some of the work relating to legal contracts, including the onboarding and off-boarding of staff
- Support the review of information and documents to recommend its suitability for disclosure in accordance with legislative and administrative guidance.
- Develop and implement information and records management policies and procedures to achieve continuous improvement.
- Work collaboratively and negotiate with stakeholders to achieve outcomes.
- Facilitate the delivery of outcomes for the GC team around the allocation and delivery of work Stakeholder Management
- Monitor and assist with the management of workflow. Arrange and conduct meetings with Liaison officers.
- Coordination of travel requirements and compliance with relevant policy and legislation
- Some Executive Assistant duties will also be involved such as managing diaries, coordinating responses etc.
Skills and Experience
For APS 5 Administration Officer:
- Experience in timely record-keeping and data coordination, compliance knowledge, and organizational skills.
- Proficiency in policy adherence, research, and providing support within a team environment.
- Effective communication with stakeholders to achieve Defence outcomes and commitment to self-improvement.
For APS 6 Admin Support/Coordination Officer:
- Expertise in workgroup coordination, especially in a legal context, with the ability to manage information and records in compliance with relevant regulations.
- Demonstrated experience in developing strategies for workload improvement and knowledge of legal contract processes.
- Proficiency in reviewing documents for disclosure, policy development, and stakeholder engagement skills.
- Strong skills in workflow management, including meetings, travel coordination, and executive assistance.
Eligibility/Other Requirements:
- To be eligible for employment in this role, you must be an Australian citizen, and have a current AGSVA Baseline security clearance.
